Job Description - Curatorial and Marketing AssistantPosition: Curatorial and Marketing Assistant
Classification: Exempt
Hours: Tuesday - Friday, 10:00 am - 5:00 pm and one day on the
weekends (either Saturday, 10 am - 5 pm or Sunday, Noon - 5 pm).
Additional hours may be required during exhibit change and events.
Purpose
To assist the Executive Director with the overall administrative
functions of the Metal Museum with a focus on curating and marketing.
Responsibilities include general assistance with administrative duties
and assisting with curatorial and marketing activities.Essential Functions and Responsibilities
1. General administrative assistance, including answering phones
and organizational inquiries, photocopying, filing, note keeping,
research, meeting scheduling and working with vendors.
2. Oversee board and committee mailings, as well as all other
mass mailings, including press packets, postcards for projects,
invitations to special events, etc.
3. Assist with board and committee meetings by taking notes and
preparing meeting materials.
4. Attend designated meetings related to current or potential
museum projects.
5. Assist Executive Director with writing and distributing press
releases, exhibition and label text, grants, museum policy,
sponsorship packets and other related exhibition and promotional
materials.
6. Greet visitors entering establishment, determine nature and
purpose of visit, and direct or escort them to specific destinations,
when receptionist is not available.
7. Operate office machines, such as photocopiers and scanners,
facsimile machines, voice mail systems and personal computers.
8. Prepare reports, memos, letters, databases and other
documents, using word processing, spreadsheet, database, or
presentation software.
9. Read and analyze incoming memos, submissions, and reports to
determine their significance and plan their distribution.
10. File and retrieve documents, records, and reports.
11. Prepare responses to correspondence containing routine inquiries.
12. Compile, transcribe, and distribute minutes of meetings
13. Place materials into storage receptacles, such as file
cabinets, boxes, bins, or drawers, according to classification and
identification information.
14. Modify and improve filing systems, or implement new filing systems.
15. Schedule appointments, and maintain and update appointment calendars.
16. Inform Executive Director of issues or progress.
17. Respond to change productively and perform other essential
duties as assigned.
Qualifications
Education: Bachelor degree, with a major in fine arts or
art history preferred.
Experience: Minimum 2 years experience in general office work preferred.
Experience in not-for-profit environment preferred.
License/Certification(s): None
Skills/Abilities:
· Proficient in Microsoft Office, specifically Excel and Word
· Strong writing skills
· Strong interpersonal skills
· Ability to communicate clearly and concisely
· Detail oriented
